Exhibitor’s written cancellation must be received via email at exhibits@asha.org by end of business day on May 11, 2023, in order for Exhibitor to be eligible to receive a refund, less 25% of the booth fee. If Exhibitor’s cancellation is received after May 11, 2023, the entire booth fee will be forfeited. There are no exceptions to this policy.
The Conference exhibits are a vital extension of ASHA’s continuing education program. ASHA reserves the right to determine the eligibility of any company wishing to exhibit. The acceptance of a product or service for exhibit does not constitute an endorsement by ASHA. Generally, all products and services to be exhibited must be related to the practice of speech-language pathology or audiology. ASHA may deny or revoke eligibility based on a violation of any policy set forth in the exhibitor contract or for any action determined to detract from the character of the exhibition. ASHA reserves the right to withdraw its acceptance of this contract if it determines in its sole discretion that the exhibitor is not eligible to participate, or the Exhibitor’s product is not eligible to be displayed at the event.
Only those companies certifying that they are equal opportunity employers will be eligible to exhibit at this Conference and subsequent Conferences held by ASHA.
Booth space will be 10-ft x 10-ft. Each booth includes a 8-ft-high back wall, 3-ft-hall side rails, 1-6’ draped table, 2-chairs, wastebasket, and a uniform two-line booth sign. The sign will include the company name and booth number. Booth package also includes one (1) full conference registration (educational sessions), two (2) exhibit hall-only badges one (1) One full online conference registration with access to online content, complimentary food and beverage for exhibit hall functions, online exhibitor profile linked in the Online Conference, company listing in the printed conference book, online floor plan and mobile app, post-show attendee mailing list, and peripheral exhibit hall security.
Same as standard booth package except for the number of badges. Member table package includes one (1) full non-transferable conference registration (educational sessions) and one (1) exhibit hall-only badge.
Additional booth furnishings, electricity, and other additional services are NOT included in the price of the booth. An Exhibitor Service Manual with order forms will be available in May. By submitting the online contract, you also agree to the rules and regulations in the Exhibitor Service Manual.

All exhibits must be fully staffed during these exhibit hours. Any exhibiting company that tears down its exhibit before 5:15 p.m. on July 14 or is not fully staffed will forfeit its priority booking privileges for next year’s Conference. ASHA reserves the right to alter the Conference hours in any manner in the best interest of the Association.
The Exhibit Hall will be available from 2:00 p.m. to 6:00 p.m. on Wednesday, July 12 and from 8:00 a.m. to 10:00 a.m. on Thursday, July 13, for installation of exhibits.
All shipping containers must be emptied and cleared away for storage by 10:00 a.m. on Thursday, July 13. Exhibitors may set out materials in their booths until 6:00 p.m. on Wednesday, July 13. Exhibitors may stay to complete their setup after 6:00 p.m. but cannot leave the Exhibit Hall and return for security reasons. Exhibits may not be vacated or dismantled before 5:15 p.m. on Friday, July 14.
Exhibitors displaying exhibitor badges will be allowed on the show floor to complete the daily setup of their booths beginning at 8:00 a.m. Once exhibitors leave the Exhibit Hall at the close of each day, they cannot reenter the Exhibit Hall. Exhibits must be dismantled, packed, and ready for shipping by 8:00 p.m. on Friday, July 14. Drivers must check in no later than 7:00 p.m. on Friday, July 14 to pick up your booth freight.
Exhibitors may not pass out flyers in the aisles or place marketing material on the tables that are not located in their contracted exhibit space. Advertisements found outside an exhibitor’s booth will be discarded.
Exhibitor shall not conduct any competing event of more than 25 people during educational programming hours. Exhibitors who plan to have off-site activities are encouraged to schedule their events before and after Conference programming (generally 8:00 a.m. – 6:00 p.m. daily). Some restrictions apply during Educational Programming and Special Events.
It is agreed and understood that the regulations stated here and on the signed online contract are part of a contract between the exhibitor and the Association, and that the submission of the application for exhibit space constitutes the exhibitor’s agreement to abide by these regulations.
